Securing Your Documents

Documents are encrypted on secure servers. We've implemented technology safeguards for access control, audit control, transmission security, integrity of data and authentication. Files stored in the site are immediately backed up with real-time off-site data replication.



Storing Your Documents

Web-based document storage gives you the flexibility to access your files while maintaining them in a secure environment. Your account has an unlimited amount of space available and the monthly subscription includes 1 GB of storage. When you reach that point, an additional gigabyte automatically becomes available to you and the account is billed for the additional storage.



Filing, Indexing and Archiving Your Documents

Files are easy to retrieve. A few simple index categories can help you quickly locate documents. Index files individually or in batches as you upload them or index them at a later time. Archived files are still accessible and searchable.



Controlling Access to Your Documents

Stringent business regulations require clear audit trails and increased security around sensitive data. FileWorks helps you comply with SOX and HIPAA regulations. Account Owners maintain control over user access rights and assign the functions each user can perform. An audit trail of who accessed documents is linked to each document.

VAExchange adheres to the technology safeguards set forth by HIPAA for access control, audit control, transmission security, integrity of data and authentication.



Distributing Your Documents

You can protect your documents and data from insecure email networks and hackers. When you need to distribute a document to one or many users you can send out an email link instead of attaching the document to email. Your documents remain safely encrypted on the server and you can avoid email bounce backs when the recipient's email account is full.

Use VAExchange's email and text message notifications to be alerted every time something happens with your account, including when any documents arrive (including faxes) and when documents are signed.
